As a general rule, we avoid adding MN after 3 are loaded into the same location.

From September, on a monthly basis, dates that we need to black out for bookings will be sent to BD to stop taking requests for those specific locations and dates. They will be very limited to the dates that truly are not offering the extra space where we have also maxed out our MN. This will then prevent new bookings getting the space over existing MN bookings, where little is available. Always refer to the Calendar of Events.

Only the night required to be MN in the system with notes in “Supplier Confirmation” field to indicate which night it is, how many night or number of rooms missing (this is loaded in the PA line if applicable). Only full location to be confirmed to the client (i.e. NOT: “2nd night missing night).

For locations we will use GEN002 supplier. If client has a strong preference, note this in the “Supplier Confirmation field” using the word “want” and this will highlight clearly on our reports.

BD to offer ‘worst case option’ to client (highest rates, but not 4*).

If a specific hotel has accepted a MN and it seems feasible, load this hotel and send the request from TP to confirm the MN.

Availability of allocation report updated with MN restrictions

Bookings overview report referred to before requesting any space and on dates with too many MN, we advise BD that we cannot MN and find alternative solution.

Missing Nights should only be last resort. Prior to adding a MN we need to check if we can reverse the itinerary or offer alternative location.

All CH bookings and allocation hotels are also checked alongside non-allocation hotels to ensure all space is checked and requested before waitlisting any hotels.

No bookings to be cancelled without referring to the MN list to ensure space is swapped immediately when available.

MN clearing to start full time from end of January at the latest.

BD to refer to Calendar of Events and Hot Dates before sending offer to the client.
