TRACKER HOW TO’S:

Please do not email PI (central or hotel) team for any request – they all need to go through the tracker (more than 30 days out)

  1. Every time you need to increase or reduce rooms more than 30 days out please load onto the tracker which is sent on Mondays.

    1. All other queries also welcome here (i.e. change in room breakdowns, change for BB or DBB etc)

  2. When requesting a reduction or increase please include the following so we can load it correctly:

    1. final breakdown needed for the group (no need to mention TBA just total rooms needed)

    2. make sure your pax configuration is correct in TP

  3. If the date of arrival in PI is close to the 30 days and will be within 30 days by the next Monday when it is sent, you can either:

    1. ask Laird to send it as an urgent request

    2. or wait and request the space direct with the hotel, once locked down at 28 days

  4. no need to email us that you have updated the tracker unless the request needs to be sent urgently

  5. Once we have the response we will inform you.

  6. There is a tab for “other hotels” in case you have any queries that are not for the allocation hotels (UK & NI hotels only).
     

PRE-POST NIGHTS:

Premier Inn DO NOT offer FIT, however, we have access to an online tool where we can book pre/post-nights. Please note that you can ONLY book these if the group are staying in Premier Inn, but we have been given permission to book another PI hotel than the one the group stays in.

Group staying in PI Newbridge first night – Guide can be lodged in same hotel or other PI hotel in Edinburgh

Group straying in Mercure Livingston first night – no pre-nights allowed in Premier Inns.

 

BREAKFASTS / DINNERS:

  • A bulk request will be sent in March for all meals where you have the times in place.

    • Group dinners that have been pre-booked, dine off a set, reduced menu

    • Pre-order required 2 days prior to arrival.

    • Group dinners are often required to dine either early or late to avoid the restaurant’s busy times

  • For any groups not requested with the bulk, please liaise with the hotel directly at time of lockdown (i.e. after central reservations have sent the lock down to the hotel).

    • If for any reason a group’s dinner needs to be requested prior to the lock down, please log this on the tracker.

  • Any groups not booked on the group dinner will need to dine as individuals, off the a la carte menu and tables to be requested on check in.

 

*Please note that the Premier Inn Leith’s restaurant is in a separate building, but with a covered archway to walk through. The guests will have to go outside shortly though.

Please liaise direct with the hotels on all meal queries after lockdown.
