
Accommodation
Clearing of Waitlists, overbooked groups and late placement is completed in different stages.
Status that will be used throughout this process are –

WL – Waitlist – this is an area or hotel that has been placed on waitlist as at the time of booking the group space was not available.

OM – Overbooked against – this is where we have overbooked a group against another group based on the likelihood that it will cancel

MN – Missing Night – This is mainly used for series where there is gaps in the overall series. By January of each year all MN’s will be moved to a WL status
Stage 1 - Clearing from Allocation

This stage will start around January of the year that we are in. We will check the WL’s against allocation.

If space is available it will be offered to the Account Handler, specifying the Hotel name and cost.

If this is not suitable Account Handler will provide a reasonable reason as to why they cannot accept it ( Rate / Location)
Stage 2 - Clearing from CH report or XX Report

This stage will also start around January after allocation has been checked.

If space is available matching that of any WL’s, it will be offered to the Account Handler.

If the space offered is not suitable a reason for not accepting the space needs to be given ( rate / location)
Stage 3 -Searching for Space

After Allocation has been checked and CH and XX reports checked, we will then start to look for space directly at hotel.

This process will be done chronologically by month with the exception of any priorities (as determined by Management)

Accommodation will also review who is blocking space and see if they can possibly move.
