Overwriting the cost and sell
For the vast majority of services, the cost and the sell should be correct in Touplan as per our contracted rates. However you may need to overwrite the cost and/or the sell amount on Tourplan, if the supplier cannot offer contracted rates, or the amount in Tourplan is absent/incorrect.
To overwrite the cost or sell. Highlight the line you wish to manipulate and click on ‘costs’ in the Service List.

Generic Lines
When sending a quote, with either a driver/guide, an airport transfer or a city guide, or an airport meet and greet we use generic lines. We use these so that at quoting stage we do not provide the names of our suppliers or guarantee a specific supplier to the client.
For generic lines the supplier code on Tourplan is GEN001

Credit Card Surcharge
For many bookings, we add a 3.5% service charge. Once all service lines have been inserted, please calculate 3.5% of the booking total and add this as a service line to the end of the booking. This should appear as the last line on the booking unless there is a commission (see ‘quotes with commission’). The supplier code for a service charge is MKT001 and then scroll services until you find CREDCC. The service charge amount should be entered on the sell side only, please leave the cost at zero. For an example of what the credit card charge looks like please see below. Please note that this amount will not be visible in any documentation.

Quotes with commission
In some cases the agent requires commission to be included as part of the quote. If the agent has requested commission, please enter this under the credit card charge surcharge, and this will now appear as the last line on the quote. The supplier code to enter commission is MKT001 as well and then scroll services until you find COMM. Please enter the commission amount as agreed with the agent on both the cost and the sell. This figure will appear in Agent confirmations.
N.B. if the agent requests the commission as a percentage of the total amount, make sure to add the credit card surcharge before calculating the commission.

Optional Extra’s
Optional extra’s (OE’s) can be added to show clients the upgrade/downgrade cost of an alternative option. For example, this is useful if the client would like to include a standard room on the quote, but to know the additional cost for a Junior Suite. Optional extras can be inserted as a regular service line, and then simply change the status of the line to OE.

Adding Pick-up Drop-off information for Chauffeurs and Car Hire
Before sending a quote, the pick-up drop off section of Car Hire and Chauffeur Services should be amended where applicable. Below is an example of information you might enter
