Sending FICO’s

A FICO a ‘FIT supplier confirmation’ and will need to be sent for most services. If you take a hotel from allocation, you send the FICO yourself. If Central Res books a hotel for you, they will send the FICO. There are however some services that are ‘free sale’, meaning that prior reservations are not required. Please see the end of this manual for all services that fall under ‘free sale’. 

Cancellation 
To cancel a booking the procedure is simple: just change the status of the line to cancel to CA (cancelled free of charge) and send the cancellation (if necessary, ie not necessary to send the cancellation for some visits – check the document above) click on send: the code to use for cancellation is FICA (no cost) or FICF (includes cost).


When all the services in the booking are cancelled, you can change the status of the booking into XX going back to Booking details on the right and change the code of the Status from CO to XX:

Amendment
To amend the Travel Date of the entire booking go to Utilities on the left column. 
Insert the new travel date and click on the “Retain Current Service Dates” in this way the services booked already won’t change.

Same procedure to amend the booking lead name.


If you want to amend the name of the pax travelling or the configuration of the room, add or delete a room, this can be done going to Pax Travelling on the left column and update the details.


To amend the number of nights just need to go on Costs under Service List and amend the number of nights requested (If not enough allocation, the status of the line will change; check it before sending the amendment).


When you finish with the amendment send the new confirmation, in this case the code to use is FICH, make sure to mention what the amendment is before sending the email, so click on Edit and update the document:


Mention what the amendment is just to make it clear for the hotel reservation team, change the output into email and Send.

All the emails sent to the hotel will appear on the Message/Queue. They will also appear in you sent folder on Outlook.
