Inbox Management

The DS Team is responsible to manage all conference inboxes and queries:

  • Each DS staff member monitors their designated inboxes.

  • Emails are to be answered within 24 hours, with the exception of the weekend.

 

Standard Procedures:

  • Emails are always sent from the conference email address NOT from your personal emails.

  • They should include the specific conference secretariat signature.

  • The PM will provide guidance on the email signatured to the DS, per inbox (if there are specific requirements).

Email Tags - Color Categories:

  • We use color categories to flag emails for specific people.

  • This will avoid that an email is left unanswered or that it is answered twice.

  • The tone of the emails must be polite, helpful and professional.

  • Spelling and grammar should be checked if you are unsure ask for help.

  • Christiane Schröder - Purple

  • Niamh Galligan - Teal

  • Tania Costa - Dark Blue

  • Intern 1 - Dark Marron

  • Intern 2 - Grey
